ABOUT THIS NOTICE
This privacy notice explains how the Institute of Contemporary Performance (“ICMP”, "we", "our", "us") collects, uses, and shares your personal data, specifically your data regarding our promotional and marketing activities. This privacy notice concerns our processing of personal data of people who interact with ICMP ("you", "your").
ICMP is the data controller of your personal data and is subject to the UK’s General Data Protection Regulation 2021 (UK GDPR 2021).
HOW WE COLLECT YOUR INFORMATION
We collect your personal data through the video and photographic images we capture, for example thorough events or activities you may attend, and for which you have consented. We also collect data through your consent form.
THE TYPES OF INFORMATION WE COLLECT
For the purposes described in this notice, the following data may be collected:
- Your name, signature, email and the date – provided when you give consent
- An identifiable image of you (still or moving), and audio, collectively named ‘media’
- Details of the image location stored in the image metadata and recorded by the camera
- Details about yourself (e.g. name, title, course programme, etc.) that you consent to give for use in image captions.
- your feedback and opinions in the forms of interviews and testimonials
- We will ensure that all personal data you supply is held in accordance with the UK GDPR.
HOW WE USE YOUR INFORMATION
We may use your ‘media’ for marketing and promotional activities across the range of marketing channels used by ICMP. This includes, but is not limited to print and digital formats including:
- ICMP website and associated microsites (eg. My.ICMP)
- Direct mail and e-marketing
- Printed materials (eg. Prospectus, leaflets, banners, adverts, etc)
- Social media platforms (eg. Facebook, Twitter, Instagram, LinkedIn, TikTok, YouTube, etc)
- Digital advertising (eg. via social media, Google Display Network, etc)
- Plasma screens and television displays within ICMP and hired event venues
THE LEGAL BASIS FOR PROCESSING YOUR DATA
We process any data for the above purpose under the basis of your own consent, given in advance of the data being collected, and on the understanding that the data will be used for the specific purpose of supporting promotional and marketing activities by ICMP.
HOW WE STORE AND PROTECT YOUR INFORMATION
Your personal information is protected by us in a number of ways.
It is stored on computer systems that have been tested to make sure they are secure, and which are kept up-to-date to protect them from viruses and hacking. Where we share your personal information with other organisations, we only ever do so via secure computer systems or encrypted email.
Your information used by us can only be processed by staff who have been specifically trained to protect your privacy.
Media shared on third party platforms are subject to the that platforms data processing agreement
HOW LONG YOUR INFORMATION IS KEPT/USED
Your consent form and any digital images will be retained for 5 years from the point of consent, at which point materials will be assessed for longer term retention (in the case of legacy or archive media content).
WHO DO WE SHARE YOUR DATA WITH?
Your consent form will not be shared. Production images and video will be disseminated in line with our Digital Marketing strategy across multiple web, social media and print channels. Images may be shared with third party commercial designers or printers engaged to assist with the production of marketing publications.
YOUR RIGHTS
Under the UK GDPR you have the following rights:
- to obtain access to, and copies of, the personal data that we hold about you;
- to require that we cease processing your personal data if the processing is causing you damage or distress;
- to require us not to send you marketing communications.
- to require us to correct the personal data we hold about you if it is incorrect;
- to require us to erase your personal data;
- to require us to restrict our data processing activities (and, where our processing is based on your consent, you may withdraw that consent, without affecting the lawfulness of our processing based on consent before its withdrawal);
- to receive from us the personal data we hold about you which you have provided to us, in a reasonable format specified by you, including for the purpose of you transmitting that personal data to another data controller;
- to object, on grounds relating to your particular situation, to any of our particular processing activities where you feel this has a disproportionate impact on your rights.
Please note that the above rights are not absolute, and we may be entitled to refuse requests where exceptions apply.
WITHDRAWING CONSENT
You can withdraw your consent at any time by emailing marketing@icmp.ac.uk. We will ensure the respective media is deleted from our system and not used for any future marketing, promotional or other purposes. Please note, once published we cannot guarantee that media will be unpublished in all instances of use. For example, where media has been incorporated into printed materials or when hosted on third-party channels.
At ICMP hosted events, where media may be captured, all attendees have the opportunity to opt-out of media capture at the point of sign-up.
